Subsidy for Orientation Activities
Introduction
Background:
In view of the pandemic situation, traditional overnight orientation camps should be replaced by new forms of orientation activities for the health and safety of the University community. The Subsidy for Orientation Activities (The Subsidy) aims at supporting student organisations to arrange alternative orientation activities to keep freshmen engaged and safe.
Eligibility:
- Orientation activities (except overnight camps) organised by Academic Societies and Interest Clubs registered under the Office of Student Affairs or Students’ Union*. The activities could be held between August and October 2022.
(*Students’ Union, Postgraduate Association, Hall Councils and HKBU International Association are NOT eligible.) - Only freshman participants of UGC-funded programmes, including senior entrants will be sponsored.
- Each student organisation can only apply for the Subsidy once in 2022.
- The approval of Subsidy is subject to the government and University's guidelines on organising activities under the pandemic.
Application procedures:
- Completed application must be submitted no later than 15 July 2022 (Friday).
- Application should be submitted online with the following support documents:
- Activity proposal
- Budget plan with detailed breakdown
Student organization's obligations:
- Student officers of all successful applications must submit the following documents within one month upon completion of the funded activity:
- Online activity evaluation report with:
- Justifications on intended outcome(s) achieved.
- Financial statement with ORIGINAL receipts. (Please stick all receipts on A4 papers and number the receipts following the order of particulars in the financial statement. Hard copies of the receipts should be submitted to the Office of Student Affairs)
- At least six photos showing different elements of the activity.
- Copy of all promotion materials of the activity.
- List of participants including their name and student ID.
- Online activity evaluation report with:
- At least one of the following acknowledgements should be included in all promotion materials such as banner, poster and booklet:
"The activity is sponsored by Hong Kong Baptist University Student Activities Fund" or "本活動由香港浸會大學學生活動基金贊助"
Regulations on reimbursement:
- The funding will be FORFEITED if student organizations fail to submit the evaluation report and required documents by the stated deadline.
- The funding can only support expenses in the particular acitivy stated in the application materials.
- Actual amount of funding will be determined by the receipts submitted by student organizations.
- The Director of Student Affairs (DSA) reserves the right to adjust the amount of subsidy in consideration of the availability of funds.
Funding Guidelines
- Maximum HK$50 will be granted to each freshman participant enrolled in UGC-funded programmes in 2022/2023 academic year, including senior-year entrants.
- The Subsidy will NOT cover food and beverage, eating and drinking should be avoided in all face-to-face events.
- No double subsidies will be granted within the Office of SA.
- Additional 30% of subsidy OR a maximum of HK$1,500 per activity may be granted if such activity is organised by student organisation(s) which has/have fulfilled the requirements of CODE Programme. Each eligible student organisation can ONLY claim additional funding from CODE Programme once.
- The amount of subsidy granted shall not exceed the total expected expenses of the activity.
