The University General Scholarships application is an integrated way for eligible students to apply for more than 50 scholarships by submitting just ONE online form. Interested students should complete the online application form and submit all the required documents by the deadline 5:30pm, 19 September 2024 (Thursday). Late/incomplete/partial submission of the application form and/or supporting documents will NOT be accepted.

Remark: There is only ONE application exercise for University General Scholarships in each academic year. Applicants do not need to specify which scholarships they would like to apply for. However, please note that scholarships that are awarded via individual application and School/ Department nomination are NOT included.

 

ELIGIBILITY

Full-time undergraduate students of UGC-funded programmes who studied on campus at HKBU in either or both Semesters 1 and 2 in 2023-24 with a cumulative GPA of 3.00 or above are eligible to apply. The following students will normally NOT be considered:

  • Students who have already been awarded admission scholarships, AIA Scholarships, HKSAR Government Scholarship, Hong Kong Jockey Club Scholarship, Scholarship for Prospective English Teachers, Swire University Scholarship, Elizabeth Law Scholarship Fund for Mainland Students, Belt & Road Scholarships, or scholarships with total amount near HK$50,000 in 2024-25.
  • Students who were admitted to HKBU in 2024 with no GPA obtained in their current undergraduate UGC-funded programmes at HKBU.
  • Students with no GPA obtained in 2023-24 due to full-year exchange, internship, suspension or other reasons.
  • Graduated students or students about to graduate (i.e., will no longer study in the 2024-25 academic year).

 

ONLINE APPLICATION

IMPORTANT: Please read thoroughly the following instructions before you start working on the online application.

Remarks:

  • Applicants should read the Frequently Asked Questions and General Tips on completing scholarship application form BEFORE starting the online application.
  • To ensure a successful application with completed and accurate information, applicants are strongly advised to fill out the application form on a desktop/laptop computer (mobile device is NOT recommended). You will be asked to save the completed online form as a PDF file for further submission with the supporting documents afterward.

 

Step I: Complete the Online Application form

1.  Have the following information ready:

a) Academic results: GPA of 2023-24 semester 1 and/or 2 and latest cumulative GPA

b) Extra-curricular activities & community services of the past 3 years, i.e., September 2021 onwards (e.g., name of organization, position held, activities / services participated, achievement / award, number of service hours)

      * Job experience will NOT be considered and should not be included.

c) Scholarships / awards received in the past 3 years, i.e., September 2021 onwards

d) Written essay (please write in English in no more than 500 words):

      “Explain how you plan to use your education to make a positive impact on your community or society.”

e) Applicants who would like to apply for scholarships that would consider their financial situation, should also have the following information ready:

i) Most recent occupation, name of most recent employer and ANNUAL income (Apr 2023 to Mar 2024) of family members living with you

**You do not need to include part-time job income of full-time students in your household. However, if the student(s) had full-time job(s)/internship(s), please include the full-time income. For all other family members who are not full-time students, please include all income from different sources.

ii) Government Grant and Loan received in 2023-24

iii) Non-means-tested Loan Scheme for Full-time Tertiary Students (NLSFT) received in 2023-24

iv) University Bursaries and Loans received in 2023-24

2.  Please fill out the application form accurately. Misinformation or errors input by mistake will affect your application result. Kindly note that NO modifications can be made once the form is submitted.

3.  The form will be saved automatically when you click on the "Next" or "Previous" button. Do not close the browser of the current page before saving, otherwise all the data typed on the current page will be lost. In addition, please wait until the next page is completely loaded after clicking the "Previous" or "Next" button to ensure your information is saved. As the system would automatically timeout after a certain time, we strongly recommend students save their applications once every 15 minutes. If you cannot complete the form in one sitting, you can logout and login again to continue later. The unfinished form can be modified when you login next time. However, once the form is submitted, no modifications can be made.

4.  Mandatory items must be filled in. If it is inapplicable, please enter "N/A" for text items and "0" for amount items. You cannot go to the next page if mandatory items are blank. Pop-up messages will remind you which items must be filled in.

5.  Click the button "SUBMIT APPLICATION" when you finish.

6.  You will be asked to print your form. Print or save it as a PDF.

7.  An auto-email will be sent to the applicant’s HKBU student email upon successful online form submission. If you have not received the auto-email within 10 minutes, your submission of the online application form may be unsuccessful and you should inform SFA immediately.

 

Step II: Submit the form AND supporting documents

Prepare your supporting documents:

1.  Scan all the required documents and make sure they are clear and legible. Any parts that are missing, unclear, and incomprehensible will NOT be considered.

2.  Combine your completed online application form with all of your supporting documents into ONE (1) PDF file, and arrange them in proper order: Application Form > Supporting Proofs for extra-curricular activities, community service, awards > Financial Proofs (if applicable).

3.  Keep the PDF file size under 15MB is most preferable. You may not need to scan the documents in the highest/best quality if standard quality suffices.

4.  Name the PDF file in the format of "scholarship_student ID_full name" (e.g. scholarship_24222122_Chan Tai Man).

Upload the PDF document on HKBU Moodle:

5.  Log in to HKBU Moodle. Input “SFA0001” in [Search courses] to search “SFA0001 University General Scholarships [2024-25]”. Click on the course and there is a [Self-enrolment] part at the bottom. Input the Enrolment key “GenScho202425” and click [Enrol me] to self-enroll in the course.

6.  Upload your prepared PDF file to the abovementioned SFA course by following the instructions on HKBU Moodle (similar to submitting an assignment for a course). The file can be uploaded ONCE only. No re-submission is allowed.

7.  Make sure you have pressed [Submit assignment] and confirmed your submission. You will receive an auto-email from HKBU Moodle upon you completed the above steps successfully. Please note that your application is incomplete and will NOT be considered if the “Submission status” of the file showed as “Draft (not submitted)”.

8.  DO NOT unenroll from the course “SFA0001” during this academic year 2024-25, otherwise your submission will be REMOVED from the system and your application will be WITHDRAWN from the selection process.

 

Important Reminders:

1.  Requiring all applicants to submit relevant and sufficient supporting documents provides a fair ground for competition. It is the applicant’s responsibility to make sure the application and submission of the supporting documents are complete for review by the selection panel. The panel would not be able to consider the proof-less activities/service/scholarship/financial situation, etc. if the applicant did not provide justified information and attach relevant proof(s).

2.  You should attach RELEVANT supporting documents ONLY with your application form. All irrelevant submissions (such as activities/service proofs dated before September 2021) or multiple proofs for the same activity, service, scholarship, or financial assistance might adversely affect your application.

3.  You may print out/scan your SLES record (https://sles.hkbu.edu.hk/) as supporting proofs for HKBU internal activities/service/scholarships/financial assistance. However, please circle or highlight the relevant information for clear identification (用原子筆圈起相關資料). Only ONE proof is required for EACH activity, service, scholarship, or financial assistance.

4.  Applicants who would like to apply for scholarships that would consider their financial situation should also provide official income proofs from the employer, tax return summary, bank books / statements with clear dark circles on the income items (用原子筆圈起相關數字), or self-prepared income statement (收入自述書).

5.  To avoid last-minute rush/unexpected technical errors/difficulties that may require extra time to solve, you are advised to prepare and upload your PDF file as early as possible before the deadline. Kindly note that the submission time shall refer to the timer on HKBU Moodle which may or may not be the same as your device. The Office of Student Affairs has the discretion to make final judgments on whether the application is considered late.

 

Notes:

1.  Please login to BUniPort and update your “Bank Account Information” via the “Study Record and Personal Particulars” page. Omission of your bank account information in BUniPort may result in delay of payment of your scholarship, if any.

2.  Application results will be released via emails to your HKBU email account normally before March/April or as soon as confirmation is received from the donors. You may assume that your application is unsuccessful if you do not hear from us by the end of the second semester.

3.  The University has enhanced the firewall for security reasons. If you encounter errors when you are filling out the online form off campus (i.e., outside of HKBU), please log out, close the browser, log in again and see if you can proceed. Or please try another browser.

4.  If errors still occur after all these actions, please capture the error message, date and time, then report the issue to us at sfa@hkbu.edu.hk. Kindly understand that technical problems cannot be fixed instantly, so you are recommended to begin your application as early as possible.

Personal Data Collection Statement:

1.  Please provide the personal data as requested and ensure that the data are complete and accurate.

2.  The data collected will be used for the purpose of scholarship allocation for the academic year 2024-25, and any related purposes. The data will be stored until the relevant exercise has been completed and document review requirement is fulfilled.

3.  Your personal data held by our Office will be kept confidential but they may be shared with appropriate parties and personnel of the University, and other parties including scholarship donors for meeting the above purpose.

4.  Under the Personal Data (Privacy) Ordinance, you have the right to request access to and correction of your personal data held by our Office. Requests for such access and correction can be made to our Office in writing via email to sfa@hkbu.edu.hk or by post. We may charge you a fee to cover the administrative cost.
