Application and Management

CCL Application
 

  1. Application for CCL recognition must be submitted by University staff members who have the access right to the Student Learning Experience System (SLES) (staff single sign-on required) at least 3 weeks before the event.

  2. After log-in to the SLES, click the top left button for the menu.

  3. Click Co-curricular and then Activity.

  4. Under the tab of CCL Activity, click the button of Apply CCL Activity;

    Or

    Choose a similar previous activity, click and enter the Details page, and click the Copy Activity button to copy and edit for the new application.

  5. The applicant has to fill in all the required information accurately before submission.

  6. An email of acknowledgement of receipt with a CCL reference code will be sent to the email address provided by the applicant. The CCL reference code should be cited in further correspondence concerning the application.
     

Upon approval, please:
 

  1. Download the CCL logo and place it on the promotion materials of the event;

  2. Download and print the common evaluation form (and add your own questions if needed) for use; and

  3. Upload the attendance record of the event via the SLES in the Attn. page within 10 working days after the event.

 

CCL Management

 

In the Student Learning Experience System (SLES) (staff single sign-on required), the applicant with the access right to the System may manage the CCL applications in the section of Co-curricular > Activity > the tab of

CCL Activity as follows:

 

View Previous Applications
 

Applicant can view the application details by clicking the Details button of the event concerned in the Action column.
 

The status of the CCL application(s) is shown under the Status column.
 

TIP: Click the Search Activity bar at the top to set the filter to view more activities in previous academic years.
 

Change Previous Applications
 

Applicant can revoke the application as draft and edit before the application being processed by the CCL Approver.
 

For approved applications, request for changes can be made in the Details page by clicking the Request Change button and sent to CCL Approver for confirmation.
 

Cancel Applications
 

Applicant can cancel the application before its approval by clicking the Delete button of the event concerned in the Action column.
 

For approved upcoming activity, request for cancellation can also be submitted by clicking the Cancel button of the event concerned in the Action column.
 

Receive Registration From Students
 

Applicant can create registration page for students. He/she can change the registration details and view the registration status by clicking the Reg. button of the event concerned in the Action column.
 

Applicant can select registered students and Re-send Confirmation Email or Send Reminder Email of default content. Before sending out the email, applicant can expand the Email preview to preview the content (which cannot be amended).
 

Manage Attendance
 

After the event, applicant can upload the Student ID number(s) by clicking the Attn. button of the event concerned in the Action column (which should be done within 15 working days after the event) for CCL Approver's confirmation. On this page, the applicant can:
 

  • Delete the attendance before CCL Approver's confirmation in the case of wrong entry;

  • Change a certain attendance entry to not counting as CCL unit under special circumstances by entering Details of the student and choose "No" for *Count CCL before CCL Approver's confirmation;

  • Add more students' CCL attendance;

  • View the Student ID number(s) uploaded and its/their details.
     

View System Email Log
 

Applicant can view the record of all relevant System-generated emails, including emails to applicant about the processing/ revoking/ approval/ cancellation/ rejection of his/ her CCL application and confirmation/ cancellation emails to registered students, by clicking the Email Log button of the event concerned in the Action column.

Attendance Taking
 

Colleagues are encouraged to use the mobile phone App HKBU Mobile (staff single sign-on required) developed by ITO for attendance taking. The attendance taken by scanning the Student ID Cards or direct input will be sent to the SLES server real-time. 1 to 2 working days will be allowed for colleagues' revision to the attendance record after the event, if necessary. The attendance data will then be confirmed by the CCL Approver, and the students concerned will be able to view their CCL attendance at the event immediately afterwards.

The attendance taking function of HKBU Mobile is effective on the event day until 24 hours after the end of event.

On the Attn. page of the event under the Action column, the applicant may use the Manage Attendance Taker function to assign colleagues of other department(s)/office(s)/unit(s) and/or students to use the mobile app for attendance taking.


Note:
 

  1. It is recommended to assign a strict period for attendance taking (e.g. 30 minutes before and after the event are allowed for attendance taking only) to avoid mixing up the data of other events and/or accidental scanning of unrelated Student ID Cards.

  2. The students delegated with the right of attendance taking should have no conflict of interest in terms of CCL fulfilment (e.g. senior year students who have fulfilled their CCL requirement are more preferred).
