Student Helper Weekly Working Hours Operating System (WHOS)

is introduced to monitor the working hours of students and provide prompt advice on balancing work and study.  The system only applies to the work assignments which take place on campus and during semester time.  The summer period, June to August, is excluded.

Important Notes to Both Students and Hiring Staff

  1. All full-time undergraduates (local and non-local), full-time postgraduates (local and non-local) and full-time sub-degree students (local only) would be eligible to undertake part-time work on campus for not more than 17 hours per week (Sunday to Saturday).
(Note: for research postgraduates(RPG) who need to access WHOS (e.g. for non-studentship on-campus part-time job), please contact Career Centre bucareer@hkbu.edu.hk )
  2. Students must log in to WHOS and check the balance of working hours before they accept a student helper job.
  3. A hiring staff MUST check the work permit of a student helper before he/she starts working to ensure his/her eligibility.

Notes to Students

  1. If the actual working hours are fewer than the inputted hours, students should complete the “Amendment of Working Hours" form.
  2. In case a student has already worked for the job without a work permit (which is highly not encouraged), he/she should fill in the "Supplement of Working Hours" form to record the missing work data which was not captured by the system. The form should be endorsed by the hiring staff.

Notes to Hiring Staff

  1. Before giving any student helper job offer to a student, a hiring staff must check his/her work permit to ensure his/her eligibility to work.
  2. The hiring staff may keep a copy of the work permit if necessary. It is not necessary to send the work permit to the Career Centre.
  3. In case a student has already worked for the job without a work permit (which is highly not encouraged), he/she should fill in the "Supplement of Working Hours" form to record the missing work data which was not captured by the system. The form should be endorsed by the hiring staff, stamped with the department chop and then submitted to the Career Centre via campus mail for immediate clearance and record verification within 3 working days.
  4. If the actual working hours are fewer than the inputted hours, students should complete the “Amendment of Working Hours" form. The form should be endorsed by the hiring staff, stamped with the department chop and then submitted to the Career Centre via campus mail for immediate clearance and record verification within 3 working days.
  5. If a hiring staff/department would like to engage a helper to work 18 hours or more in a week and for a continuous period of 4 weeks, please contact the Human Resources Office to process continuous part-time employment prior to the start of employment.
